Written in plain words, because terms nobody can read are terms nobody agreed to. If any of this is unclear, call and ask before you buy — we would rather answer the question than win the argument later.
In effect from 22 September 2026. These terms are between your business and ours; this is business software and not a consumer product.
A license covers one counting event, priced by how many scanners count at the same time. Operators are unlimited — put as many people on it as you like — and so are sites.
A license runs seven days. Most counts take one or two. If yours needs longer, tell us during the count and we will extend it; we have never refused.
Not when you pay. The seven days begin the moment the first stocktake on that license is activated. Buy in November for a count on 31 December and you have spent nothing of it in between — load your parts, set up your sites, train your people, all free.
Full refund any time before you activate your first stocktake. None afterwards.
Once you start counting you are committed, and that is the whole of it. There is no partial refund for a count that finished early, no credit for scanners you did not use, and no pro rata for days left on the seven.
It is a blunt rule and it is blunt on purpose. The alternative is an argument about how much of a count was “really” used, at the end of a long night, with both sides tired. Before you press activate, your money is entirely yours. After, it is entirely ours. You always know which side of the line you are on, and the button that crosses it says so.
Refunds go back to the card that paid, through Stripe, and take a few days to appear. Ask by email or on the phone; there is no form.
This section is the one that matters when something goes wrong, so it is written out rather than buried.
Our total liability to you is capped at what you paid us for the count in question. Not your stock value, not your audit fee, not a night of wages, not lost sales. What you paid, and no more.
And there are things we are plainly not responsible for, because they are not ours:
We do not promise the portal is never down. It is hosted on managed infrastructure in the United States with nightly backups, and we have every reason to keep it up — but a company this size promising uptime it cannot control would be making a promise to be broken. If the portal is unavailable when you were counting, tell us: we will extend your license at no charge, and if the count could not happen at all, refund it. That is the remedy, and it is the whole remedy.
Nothing here is meant to exclude anything that cannot lawfully be excluded.
It is yours. We do not sell it, mine it, benchmark it against other customers, or hand it on.
Closed stocktakes stay reportable, because a report on a finished count is the one most often wanted, sometimes months later when an auditor asks. We do not put a clock on that. You decide when it goes.
An administrator can remove your parts, bin locations, stocktakes and every count from the portal, by typing an exact phrase and confirming twice. The page shows you the numbers first.
Deleting really is deleting, and that cuts both ways: no archive, no undo, not for you and not for us. Download your reports and CSV exports before you press it.
What a count cost and when it happened: a company name, a date and an amount. No part numbers, no bin locations, no counts. Kept as long as the law requires records of a sale.
One honest footnote: deleted rows linger in the nightly backups for a short period before those roll off, which is a property of having backups at all. They are readable by nobody but us, they are never restored selectively, and they age out on their own.
American customers’ data is held in the United States, in a separate database from the Australian one. See the privacy page for what the website and the payment page touch.
Part numbers, bin locations, expected quantities and costs. You confirm you have the right to put them in, and that you are not loading personal information about anybody beyond the operator names a count needs.
Operators are unlimited, so there is no reason to share one. Counts are attributed by username, which is the whole basis of the by-operator report — a shared login makes that report a fiction.
They are typed at the scanner, alongside a username and password. Treat them as you would any other login and tell us straight away if you think one has been misused.
No probing, scraping, reselling access, or trying to reach another company’s data. We will end an account doing any of that, without refund.
A price change never applies to a count you have already bought. What you paid is what you paid, and the license you hold runs on the terms it was sold under.
We may change these terms for future purchases, and the date at the top says when they last changed. We will not change them quietly in the middle of your count.
You can stop at any time: there is no subscription, nothing recurring, and nothing to cancel. Not buying another count is ending it. If you want the company and its logins removed rather than just the data, call us and we will do it and confirm when it is done.
These terms are governed by the law of New South Wales, Australia, and the courts there have jurisdiction.
We say that plainly rather than hiding it: we are an Australian company, the software is written and supported from Australia, and it would be dishonest to imply a US legal presence we do not have. If that matters to your business before you buy, call and talk to us about it — it is a reasonable thing to ask.
